How many times have you walked out of a great customer meeting, committed to sending the proposal "first thing tomorrow morning," only for it to go out five days later? The meeting went fine; what failed was what came after.
In this guide you'll find agenda templates for the four types of sales meetings, a checklist for the following 24 hours, and a comparison of AI assistants based on the criterion that decides everything: whether the information reaches your CRM or stays in another app.
What is a sales meeting?
A sales meeting is a meeting, internal or with a customer, whose purpose is to move specific deals forward: reviewing pipeline status, forecasting the close, coaching a salesperson, or agreeing on the next step with the buyer. Its outcome is measured by what it leaves behind: decisions, owners, and dates logged in the CRM.
Every meeting has two moments: the meeting itself and the sales follow-up afterward, which is where the most value gets lost.
Types of sales meetings: pipeline, forecast, 1:1, and customer meetings
| Type | Frequency and length | Expected outcome |
|---|---|---|
| Pipeline review meeting | Weekly, 30 min | A dated next step for every opportunity reviewed |
| Forecast | Monthly, 45-60 min | A committed number and identified risks |
| Salesperson-manager 1:1 | Every two weeks, 30 min | Two or three improvement commitments |
| Customer meeting | Depends on the sales cycle | An explicitly agreed next step |
Team cadence is covered in how to manage a sales team, and quarterly reviews with large customers in key account management and QBRs.
Sales meeting agenda template for 30 minutes
Weekly pipeline review agenda
This sales meeting agenda works for teams of 3 to 10 salespeople:
- The week's numbers (5 min): new, won, and lost opportunities, and pipeline against target.
- Opportunities that moved or got stuck (15 min): only those that changed stage or have gone two weeks without activity. For each one: what happened, what's missing, and who's moving it forward.
- Losses and reactivations (5 min): loss reason logged and deals worth reopening.
- Commitments (5 min): every agreement is logged as an activity in the CRM, with an owner and due date, before the meeting ends.
The key rule: review the pipeline directly in the CRM, not in a separate spreadsheet.
Agendas for forecast, 1:1, and customer meetings
- Monthly forecast: last period's close against the forecast, the period's opportunities by probability, and each salesperson's commitment.
- 1:1: the week's activity, one stuck opportunity, and one development point.
- With the customer: agreed objective, discovery, a presentation focused on what they need, objections, and a next step with a date.
Before the customer meeting: prepare with their history
Ten minutes of preparation keeps you from asking the buyer what they've already told you. Check their record for open and lost opportunities, recent quotes, overdue invoices or complaints, and pending commitments. For that, the history has to be complete and free of duplicates (see customer history and the 360 view).
After: meeting notes, tasks, and proposal in under 24 hours
The sales follow-up checklist for every customer meeting:
- Meeting notes with agreements, objections, and next steps, as a note on the opportunity.
- Updated opportunity: stage, expected revenue, and expected closing date.
- One activity per commitment, with an owner and due date, both yours and the customer's.
- New contacts linked to their company.
- Follow-up email with the summary and what was agreed.
- Proposal or quote, if one was requested (how to build it without errors: what is CPQ).
In Odoo, slip-ups can be detected automatically: Keep Checking, KPB's alerts module, offers, among others, "Opportunity with no activity," "Opportunity with no expected revenue," "Opportunity with no expected closing date," and "Overdue CRM activities." In the quote builder you can put together your alert selection and request your quote.
AI meeting assistants: categories and selection criteria
An AI meeting assistant records or transcribes a conversation and generates a summary, a list of agreements and, sometimes, actions in other systems. There are five types:
| Category | What it does | Where the information ends up |
|---|---|---|
| Transcription tools | A bot joins the call, transcribes, and summarizes | First in the vendor's app |
| Conversation intelligence | Analyzes many calls: objections, competitors, coaching | On its platform, for large teams |
| Meet, Teams, or Zoom | AI notes and summaries within the video call | On each platform |
| Native Odoo 20 | Summarizes Discuss calls and transcribes voice into notes | In Odoo |
| CRM-connected agent | Creates a note, activities, opportunity updates, and drafts | In the CRM |
For video calls (as of October 2026): Google Meet's "Take notes for me" saves notes in Google Docs with next steps, supports Spanish, and requires a Workspace edition or AI plan that includes it. Teams intelligent recap delivers AI notes and follow-up tasks with a Teams Premium or Microsoft Copilot license, requires transcription, and supports Spanish on desktop. Zoom offers AI summaries depending on the plan.
In Odoo 20, according to its release notes, you can record Discuss calls and get summaries, and all AI features require IAP credits. AI voice transcription summarizes decisions, action items, and next steps in the notes or description fields. Confirm they're available in your version and subscription.
To choose, ask these questions in order:
- Does the information reach the CRM as an activity and an opportunity? This is the deciding criterion: perfect meeting notes in another app still have to be copied over.
- Does it handle the language of your meetings well, Spanish included, along with your product names and acronyms?
- Does a person review before anything reaches the customer?
- Does it cover emails and chats, or only video calls?
From transcript to CRM: meeting notes, opportunity, activities, and follow-up email
Meeting notes in the CRM are useful when each part of the conversation ends up in its own field. Here's what moving from AI meeting notes to the CRM looks like:
| What was said | Where it should end up |
|---|---|
| "We need a quote for three branches" | Draft quote and expected revenue |
| "The finance manager makes the decision" | New contact linked to the company |
| "Let's talk on Tuesday" | Activity with a due date and owner |
| "We want to start in March" | Expected closing date |
The flow: AI captures the meeting, extracts agreements, amounts, and dates, and proposes the changes and the email draft; a person reviews and approves before anything is sent or modified. That review keeps a transcription error from ending up in a quote.
Native Odoo 20 covers Discuss calls and whatever you dictate or record in Odoo; a custom assistant adds meetings on other platforms, emails, chats, and proposals. Either way, the CRM has to be well organized (Odoo CRM to close more deals). To see what else you can delegate, read AI sales automation.
Recording sales meetings: consent and personal data
Recording or transcribing a meeting involves processing personal data. As a best practice:
- Announce at the start that the meeting will be recorded or transcribed, and why.
- Ask for explicit consent; if someone declines, take notes by hand.
- Keep only what's necessary: the meeting notes are often enough; Odoo 20's voice transcription discards the audio when it's done.
- Limit who can see recordings and transcripts.

Metrics to tell whether your meetings are driving sales
- Meetings with a next step scheduled in the CRM.
- Time from meeting to proposal sent.
- Conversion from meeting to proposal and from proposal to won deal.
- Opportunities with no amount or no expected closing date.
In Odoo, Keep BI includes pre-built dashboards such as "CRM Status & Performance" and "Salesperson Status & Performance" to track sales performance.
